Is there a free plan?

Yes. The Free plan costs R0 and includes unlimited invoices and quotations, customer management, basic expense tracking, the financial dashboard, the document vault and basic reports. Paid plans add QuickSnap AI capture, payroll, inventory and advanced reporting.

Is my data secure?

Your records are stored in encrypted cloud storage with role-based access control and row-level security, so each business only ever sees its own data. Every change is written to an immutable audit trail and financial records are archived rather than deleted. Our data practices are aligned with South Africa's POPIA, and you can exercise access, correction or deletion rights at any time.

Which businesses can use Profyn?

Profyn is built for entrepreneurs, sole proprietors, freelancers and small to medium businesses — including retailers, trades and services, consultancies, agencies, NPOs and franchises — as well as the accountants and bookkeepers who support them. It suits any business that issues invoices, tracks expenses or runs a payroll.

Can I manage payroll?

Yes. Payroll is included from the Starter plan up. It calculates South African PAYE, UIF and SDL for the current tax year, generates payslip PDFs, and tracks employees, salary structures, leave, overtime and bonuses, with EMP201 figures ready for submission.

Can I track inventory?

Accepted Answer

Yes. The products and services catalogue tracks SKUs, cost prices, selling prices and quantity on hand. Stock movements are recorded automatically when you invoice a catalogue item or capture a supplier purchase, so your stock position stays accurate without manual adjustments.

Does Profyn support South Africa?

Accepted Answer

Profyn is designed for South Africa first. Everything is priced and reported in South African Rand, VAT is handled at 15% with country-aware validation, payroll follows SARS PAYE, UIF and SDL rules, and payments run through PayFast. The platform is built to expand to additional countries as we grow.

Question 8

Which payment methods are supported?

Accepted Answer

Subscriptions are billed securely through PayFast, which supports South African credit and debit cards, Instant EFT, and other local payment methods. Your own customers can pay your invoices through the same secure Pay Now link, and the invoice is marked paid automatically once the payment clears.

Question 9

Can I cancel anytime?

Accepted Answer

Yes. There are no lock-in contracts. Cancel from the Billing page in your account and your paid features continue until the end of the period you have already paid for, after which the account moves to the Free plan. Your records stay available and can be exported.
