Categorising expenses is what makes those visible.

When every cost is one long list, you cannot compare anything. Was marketing worth it? Is delivery eating the margin? There is no answer, only a total.
Cash purchases make it worse. If a R400 hardware run never gets recorded, your profit looks better than it is and your tax deduction disappears.
Why it matters
Categories turn spending into questions you can act on. If stock is 42% of turnover this month and was 34% last month, something changed — supplier pricing, wastage, or theft.
Categorised, documented expenses are also what make input VAT claims and income tax deductions defensible.

Practical tips
- Keep your category list short — eight to twelve categories beats forty.
- Add a 'review' category for anything you are unsure of, then clear it weekly.
