That little receipt? It matters.
Don't let important business records disappear.

Introduction
The most expensive piece of paper in a small business is the one you cannot find. A R2 300 slip for tools is a deduction, an input VAT claim and proof of a business cost — until it fades.
Capture is where bookkeeping succeeds or fails.
The business problem
Thermal till slips lose their print in a few months, sometimes weeks in a hot car. Supplier invoices sit unread in email. By the time you sit down to do the books, a third of the evidence is gone.
What remains is a bank line with no context: R2 300, Builders Express. Was it stock, a tool, or a personal purchase?
Why it matters
SARS does not accept a bank statement alone for an input VAT claim. You need a valid tax invoice showing the supplier's VAT number. Without it, the claim is at risk and so is the deduction.
Documents also settle disputes. Warranty claims, supplier errors and duplicate charges all become easy when the original is one search away.
How Profyn helps
Photograph the slip in Profyn. QuickSnap AI reads supplier, date, line items, VAT and total, shows a confidence score for each field, and waits for you to approve.
Multi-page supplier invoices are merged into one document. Duplicate detection uses a fingerprint of the file, so the same invoice does not get captured twice.
Every approved capture is stored in the Document Vault and linked to the expense, purchase or payment it belongs to.

QuickSnap AI & Document Vault
Photograph, extract, approve and file — with confidence scores, duplicate protection and a searchable vault behind every number.
Practical tips
- Capture at the till, not at month-end. It takes ten seconds and removes the pile entirely.
- Always check the VAT number on supplier invoices before claiming.
- Keep records for five years — the standard SARS retention period.
- Use the vault search instead of scrolling email when a supplier queries an account.
